Workever Team Chat is a centralised communication solution available on both mobile and web, designed to streamline internal team communication. It supports instant messaging, file sharing, location sharing, voice messages, and more — enabling fast and efficient collaboration.
How to Create a Group Chat
Go to the “Team Chat” section from the left-hand menu.
Click the “+” button next to the “Chats” heading.
In the pop-up window, click “New Group”.
Enter a group name in the designated field (e.g., London Team, Sales Team).
Select the users you want to add to the group from the list.
Click the “Save” button to create the group.
The new group chat will appear in your chat list, and you can start the conversation.
How to Start a Private (One-on-One) Chat
Go to the “Team Chat” section from the left-hand menu.
Click the “+” button next to the “Chats” heading.
Select the name of the person you want to chat with (e.g., Adrian Bellamy).
A private chat window will open where you can start messaging.
Message Menu
Appears when you click the three dots next to a message:
Reply: Reply with a quoted message.
Edit message: Edit your own message.
Add reaction: React to the message with an emoji.
Delete message: Deletes the message for everyone.
⚠️ Once deleted, the message is permanently removed for all participants.
Chat Menu
Accessed via the three dots in the top-right of the chat window:
Leave conversation: Leave the group chat.
Mark as unread: Mark the chat as unread to revisit later.
Delete: Permanently deletes the entire chat for all participants.
Edit: Edit the group name or participants.
View: See group details and member list.
⚠️ Deleting a chat removes it for everyone and cannot be undone.
Status Indicator
Workever provides two user status modes in Team Chat:
Active: When you log in to Workever, your status is automatically set to Active. A green dot appears next to your name, indicating that you are online and available.
Away: You can manually set your status to Away. In this state, no status dot is shown next to your name.
How to Update Your Status
Click your profile icon in the top-right corner.
Click “Set yourself as away” to remove your green status dot.
Later, click “Set yourself as active” to return to online status (green dot).
Unread Messages
The Team Chat tab displays a red badge with the total unread count.
The orange badge shows unread messages for each chat.
Messages are marked as read automatically when the chat is opened.
⚠️ Deleting a chat removes it for everyone and cannot be undone.
Chat Permissions
You can manage a staff member’s chat-related permissions and notification preferences by navigating to: Settings → Staff members → Edit staff member → Chat permissions
Chat Access
Use this setting to control whether the staff member can access and use the Workever Team Chat.
Notifications
Manages which types of notifications the staff member can receive:
Web notifications
Mobile app notifications
Email notifications
✅ Make sure the staff member has the necessary permissions to receive web and mobile notifications. These must be allowed both in the browser/device settings and within the app.

Controls whether the staff member can manage group chats:
Create groups
Edit group details
Delete groups
Keeping Deleted Users in Team Chat
When a user is deleted from the system, their presence in chats is preserved for context and continuity.
Their name remains visible in chat history and is marked with “(deleted user)”.
All their past messages stay in the conversation.
They can no longer send or receive messages.
They may still appear in group member lists for record-keeping.
This ensures chat history remains understandable, even when participants are no longer active users.
What Happens to Team Chat History If You Stop Using It?
If you stop using Team Chat, your chat history will be scheduled for deletion.
"Your Team Chat history is scheduled for deletion in 90 days. You may also choose to delete it manually at any time."
This means:
The system will automatically delete your Team Chat history after 90 days.
You can also manually delete it at any time using the “Delete chat history now” link.
