Archive – Managing and Restoring Archived Records

Archive inactive records without deleting them—keep your workspace clean, organized, and your historical data always within reach.

Archiving allows you to remove records from active workflows without losing data. Instead of deleting items, they are safely stored in the Archive, where they can be reviewed, filtered, and restored at any time.

This is particularly useful for maintaining system performance, reducing clutter, and preserving audit history.


What Can Be Archived?

In Workever, you can archive a wide range of records to keep your active workspace clean while retaining important data. The following item types can be archived:

  • Assets

  • Contacts

  • Contracts

  • Invoices

  • Jobs

  • Purchase Orders

  • Quotes

  • Reminders

  • Sites

Archiving these items removes them from active views without deleting them, allowing you to restore them at any time when needed.


How to Archive

Single Archive

  • Open the record you want to archive

  • Click on the Archive button

  • Confirm the action

✅ The record will be archived and removed from active lists.

Bulk Archive

  • Navigate to the relevant module (e.g. Jobs, Quotes, Invoices)

  • Select one or more records using the checkboxes

  • Choose Archive from the action dropdown

  • Click Apply (if applicable)

  • Confirm the action

✅ All selected records will be archived at once.

Archived records remain safely stored in the system and can be restored at any time from the Archive page.


Accessing the Archive

To view archived records:

  • Navigate to Settings

  • Open Archive

Here, you’ll find a centralized list of all archived records across the system.

What Information Is Available

Each archived record includes key metadata to help you quickly identify and evaluate it:

  • Type – Record category (e.g. Contact, Contract, Asset)

  • Name – Record name or title

  • Customer – Associated customer

  • Item ID – Unique system reference

  • Archived By – User who performed the action

  • Archived Date – Timestamp of when the record was archived

  • View – Quick access to record details

This structure ensures full traceability and transparency across archived actions.


Filters

Use filters on the Archive page to quickly locate specific records and narrow down results:

  • Date Range – Filter archived items based on when they were archived:

    • All Dates

    • Last 7 days

    • Last 14 days

  • Staff Member – View records archived by a specific team member

  • Item Type – Filter by record type (e.g. Contact, Contract, Asset)

  • Customer – Find records associated with a specific customer

Once you’ve selected your filters, click Apply to update the results.


Unarchiving Records

If a record needs to be reactivated, it can be unarchived in just a few steps:

Single Unarchive

  • Locate the record in the list

  • Click View to open details

  • Click Unarchive

The record will immediately return to its original module and become active again.

Bulk Unarchive

For operational efficiency, multiple records can be restored at once using Bulk Unarchive:

  • Select one or more records using the checkboxes

  • Choose Unarchive items from the action dropdown

  • Click Apply

  • Confirm the action

All selected records will be restored in a single operation.

This is especially valuable when reversing bulk archiving actions or reactivating groups of records.


Archive Queue

The Archive Queue shows the status of background archive and unarchive processes for Contacts. Since archiving a contact can affect related records, these actions are processed in the background and tracked here.

From this page, you can monitor the progress and outcome of each operation, including whether it has Succeeded, is In Progress, or has Failed.

It provides full visibility into when the process started, when it completed, who requested it, and any errors if they occurred.

This ensures you can easily track and verify all contact-related archive actions in one place.
