Allowing customer portal users to view completed forms directly against jobs provides greater transparency, faster access to important documentation, and improved communication.
Customers can review or download completed forms at their convenience without needing to contact staff to request copies, saving time, reducing administrative workload, and keeping all job-related information accessible in one central location. This feature is available on the Ultimate plan.
How to allow Customer Portal users to view read-only completed forms
Administrators can allow Customer Portal users to view completed forms in read-only mode. This setting is off by default, so you need to switch it on before customers can see their forms.
To enable this setting:
Go to Settings.
Select Company Settings.
Scroll down to the Customer Portal global settings section.
Select Allow customer portal users to view Completed Forms.
Click Save.
Once enabled, Customer Portal users will be able to view completed forms associated with their account. The forms are available in read-only mode, so they cannot be edited or changed.
Viewing completed forms in the Customer Portal
Once the setting is on, customers log in to the Customer Portal and open the job they want to check.
In the job, they select Forms in the left-hand menu and click the form they want to view.
They see a read-only version of the form. They can check each section to see what was recorded, and leave a customer communication note on the job if they have any comments.
To keep a copy, they can click Print PDF to download the form, or Send Email to email the PDF to themselves.
Note: Customer Portal users can only view completed forms in read-only mode. They cannot edit or make changes to the forms. Forms that have not been marked as Completed will not be visible in the Customer Portal.
